Financial Systems Transformation in Response to a Currency Change

Organizational Context and Project Scope

An international company operating in the fast-moving consumer goods (FMCG) sector conducts extensive operations across the European market, supporting complex financial, sales and logistics processes in multiple countries throughout the region. Following the decision to introduce a new currency in one of the Central and Eastern European countries, the company faced the need to rapidly adapt its ERP systems to new market and regulatory requirements.

The project was carried out between 2025 and 2026 and involved preparing the SAP ECC environment to support the new currency. Its primary objective was to ensure business continuity across finance, sales, and reporting processes. The SAP implementation included a series of configuration and integration changes, as well as adjustments to existing processes to align with the new operating model. The project was delivered using a hybrid approach (Agile + Waterfall) with Design Thinking principles. Additionally, the initiative formed part of a broader ERP transformation strategy and the continued development of the organization’s SAP landscape.

Business Challenges and the Need for Change

The project was primarily driven by regulatory changes that required the transition from the local currency to the euro within a very limited timeframe. The existing SAP system had been configured exclusively for the local currency and was not prepared to operate within the new financial framework.

Prior to the implementation, financial and operational processes relied on a unified data structure that did not account for the requirements associated with new accounting, reporting and tax rules. The lack of system readiness created a significant risk of operational disruptions, including potential issues with invoicing, reporting and order processing. The organization needed a solution that would ensure compliance with the new regulations while enabling more efficient management of internal processes.

An additional challenge was the complexity of the IT landscape, as key business processes were tightly integrated with external systems and satellite applications. This significantly increased the risk of errors during the transformation. Without the necessary changes the company could have lost its operational capability within that market. Maintaining full data consistency across environments and ensuring real-time data availability were also critical requirements.

Particular support was required for the finance, sales, planning, and logistics departments. Each of these functions depended directly on the proper operation of the ERP system and its integration with other components of the IT ecosystem. Effective project risk management and the assurance of uninterrupted execution of critical business processes were equally important.

Implemented Solution and Deployment Approach

In response to the identified challenges, the organization decided to implement a new SAP company code operating in euros. BPX was selected as the implementation partner due to its experience in similar projects and its expertise in SAP-based currency transformation initiatives.

The solution involved creating a new company code as a copy of the existing structure and subsequently adapting it to the requirements of the new currency. Project activities included configuring exchange rates, rounding rules and tax parameters. A key aspect of the implementation was the adjustment of integration interfaces, including EDI communications, IDocs and ABAP-based solutions. The SAP platform provided full process consistency and enabled real-time monitoring of operations.

The project was divided into two major phases. During the initial analysis phase, a comprehensive assessment of the currency change impact on business processes was conducted, risks were identified and system requirements were defined. The second phase focused on technical implementation and preparing the organization for go-live. This strategy helped align the efforts of multiple teams and ensured effective execution of subsequent project stages.

One of the greatest challenges was the extremely short delivery timeline. To mitigate implementation risks, extensive regression testing was performed and quality assurance measures were strengthened. The project team also ensured a smooth transition through critical phases such as development, testing, cutover and production deployment. In addition, elements of test automation were introduced, which improved overall project efficiency.

The implementation covered a broad range of SAP modules, including Finance, Sales, Logistics and Materials Management, as well as numerous supporting systems used throughout the organization. Data migration and effective knowledge transfer to support teams were also essential components of the project. The migration process was carefully planned to maintain data consistency and minimize operational risks.

Results and Benefits for the Organization

The project enabled the organization to transition smoothly to the new currency without disrupting day-to-day operations. Thanks to the implemented solution, financial, sales and reporting processes continued uninterrupted, which was critical for the business as a whole.

The most significant outcome was the launch of a fully functional SAP environment tailored to the new currency requirements. The system ensures regulatory compliance and supports efficient management of business processes within the new operating model. It also enhances decision-making through faster access to real-time data.

The project delivered measurable improvements in both quality and operational efficiency. Through the adoption of robust testing practices and enhanced quality assurance procedures, the risk of production issues was significantly reduced. Reporting and system integration processes were streamlined, resulting in better data availability and improved consistency. A detailed post-implementation report was also created, documenting project outcomes and their impact on daily operations.

Today, the solution is used by a wide range of employees across finance, sales, procurement and logistics functions. The implementation has improved cross-departmental collaboration and increased process transparency. Partial automation of selected processes has further optimized operations and enhanced productivity.

Moreover, the project established a strong foundation for future transformation initiatives. The methodologies, documentation and lessons learned can be leveraged in subsequent currency conversion projects or SAP development programs in other regions. The initiative also represents an important step toward broader digital transformation, supporting organizational growth through modern technologies, cloud-based solutions and industry best practices. The implemented innovation will enable the organization to execute future strategic initiatives more effectively and progressively automate selected business processes.
