Digital Transformation of Product Data in a Manufacturing Organization
Modern manufacturing organizations operating in the European market manage thousands of products, suppliers, and financial documents every year. As business operations scale, the quality of master data becomes increasingly important, serving as the foundation for efficient financial, logistics, and analytical processes. One of Europe’s leading consumer goods manufacturers identified a need to improve its product classification process and automate the completion of missing data in SAP.
The project was delivered by BPX as a Proof of Concept using SAP Business Technology Platform, SAP Build Process Automation, and SAP AI Core. Its objective was to create an intelligent mechanism supporting product classification and automatic completion of business document data while maintaining full user control over decision-making. The AI solutions implemented in the project demonstrate a practical application of artificial intelligence in modern organizations.
The solution was deployed for an organization operating across Central and Western Europe that consistently pursues a strategy of process digitalization and adherence to a Clean Core architecture within SAP. The company decided to implement innovative AI-based solutions to automate key business processes and strengthen its competitive advantage.
Business Challenges and the Need for Automation
Before the project, the organization faced challenges related to manually maintaining assignment groups for materials appearing on invoices. Each case required individual verification, product specification analysis and manual updates by qualified specialists in SAP S/4HANA. The process was distributed, time-consuming and heavily dependent on the expertise of individual employees.
Missing classifications caused errors in account determination processes, resulting in blocked invoice postings. Consequently, financial processes and payments were delayed while inconsistencies emerged between similar products.
Another issue was the limited reliability of data used for reporting and business analysis. Incomplete product data affected report quality, hindered decision-making and generated hidden operational costs associated with repetitive administrative tasks.
The process primarily required support from finance, accounting, master data management and SAP support teams. Highly skilled employees spent a significant portion of their time on low-value activities instead of focusing on process optimization and strategic initiatives.
Maintaining alignment with the Clean Core strategy was also a key consideration. Manual data management processes conflicted with the organization’s goal of achieving full digitalization and building a modern, data-driven supply chain and business environment. As AI adoption accelerates across industries, companies are increasingly expected to leverage advanced technologies to remain competitive.
AI-Powered Intelligent Product Classification
To address these challenges, BPX designed a solution based on generative artificial intelligence operating entirely within the SAP ecosystem. The choice of SAP technologies ensured the highest standards of security, compliance with the client’s architecture, and future scalability without modifications to the ERP core.
The solution was built on the following components:
- SAP Build Process Automation for process orchestration and workflow management;
- SAP AI Core with Generative AI Hub for product data analysis;
- SAP S/4HANA as the source and target system;
- SAP Cloud Connector and SAP BTP integration services for secure communication between cloud and on-premise environments;
- SAP AI Launchpad for AI model configuration and management.
The architecture was designed in a side-by-side model, ensuring that all intelligent components operate outside the SAP S/4HANA core. This approach allows new functionalities to be developed independently of ERP upgrade cycles while maintaining compliance with SAP best practices.
At the heart of the solution is a generative AI model capable of analyzing product descriptions and business context. Instead of relying solely on keyword matching, the system understands the meaning of products and can assign them to the appropriate category, even when processing entirely new items not previously present in the organization’s data. The solution uses advanced AI algorithms and data processing technologies. The AI assistant supports users in their daily tasks, while SAP AI enables efficient real-time information processing. As a result, organizations can leverage the full potential of artificial intelligence more effectively.
Implementation Process and Key Project Stages
The project was divided into several phases to ensure safe development and validation of the solution. Activities began with an assessment of the SAP landscape and the preparation of infrastructure on SAP BTP. At the same time SAP AI Core services were activated and configured to support generative AI models.
The next step involved developing a mechanism for the autonomous detection of documents containing missing classification data. To achieve this, logic was implemented in SAP S/4HANA to identify cases requiring correction and automatically initiate the remediation process.
AI components were then introduced to analyze product descriptions and recommend the most appropriate classification groups. The system automatically transferred relevant information to the AI model, which generated recommendations based on the available business context.
Particular attention was paid to security and process governance. Every AI-generated recommendation was presented to a business expert through a simple approval form. Only after approval were document data updated and business master data permanently corrected in SAP. This ensured that the organization retained complete control over all changes while benefiting from automation.
BPX also implemented a mechanism to eliminate duplicate tasks. The system verified whether a given invoice was already undergoing approval, preventing unnecessary workflow instances and reducing the burden on users. The integrated solution provided efficient data flow across SAP environments, while seamless service integration enabled further automation throughout the process.
Business Results and Organizational Benefits
The implemented solution significantly improved the management of master data and product classification. The most important benefit was the elimination of a critical bottleneck in document processing and the automatic removal of data quality issues before they impacted downstream business processes.
Thanks to the use of generative AI, the time required to analyze an individual case was reduced by several dozen percent. Processes that previously depended on manual effort and expert intervention are now completed almost instantly, with users only required to perform a brief verification of AI-generated recommendations.
The solution achieved a very high level of classification accuracy, delivering data quality sufficient for AI to serve as a reliable component of business operations. At the same time, the organization maintained a complete audit trail and compliance with data security policies.
The system is used by teams responsible for finance, accounting, master data management, and SAP support. Automation has shifted employee responsibilities away from manual data entry toward process oversight, quality management, and organizational development.
Another significant advantage is the ability to continuously improve data quality. Every approved suggestion not only resolves the immediate issue but also updates master data, ensuring that future documents are processed correctly from the moment they enter the system. As a result, the organization systematically reduces technical debt associated with data management while increasing the reliability of reporting and business analytics.
The project also confirmed the potential for broader AI adoption within SAP processes. Thanks to its modular architecture, the solution can be extended to additional business areas requiring intelligent classification, automated data enrichment and decision-support capabilities. The organization plans to continue scaling the solution and developing new scenarios based on SAP AI Core and SAP Business Technology Platform.
